CASE STUDY SUBMISSIONS ARE NOW OPEN

Endocrinology advanced trainees are invited to submit a single case report each for presentation in Adelaide at the ESA Clinical Weekend meeting to be held from 8 - 10 November 2024.

Please note, if your case study is accepted into the Clinical Weekend Program, you will be required to present live (in person) at the conference. The audience will be spread out over 3 rooms and you will move from room to room, giving your talk 3 times. This set-up allows for a closer interaction with the audience.

In the event that international travel is restricted, a contingency plan will be put in place to allow you to present virtually.

Case studies can be submitted to the following themes:

  • Pituitary disorders

  • Bone disorders

  • General Endocrinology

Similar to previous years, if your case is selected for presentation, a pdf copy of your PowerPoint presentation will be made available to registered delegates following the meeting. By submitting your case you are agreeing to this.

Notifications will be sent out by mid-August.

All trainees selected for a Case Study presentation will receive a special memento of the occasion presented at the Saturday evening Conference dinner. Don't forget to book your ticket when registering!

The winner of the best Case Study Presentation will receive complimentary registration to next year’s Clinical Weekend and a contribution of up to $1,000 towards publication charges in an appropriate peer reviewed journal.

Selection Criteria

This year we are again requesting your full case study submission via the online portal. Should your case study be accepted into the conference program, you will then be asked to submit a synopsis (300 words) which will be placed in the conference program and App. Your full case study will also be placed on the conference website at the conclusion of the meeting for delegates to download. We hope to avoid the situation where half the audience has already read the full details of the case and all the discussion before the oral presentation, potentially reducing the impact of the presentation and stifling audience participation. The longer detailed version will be post meeting via email to delegates.

*You will need to list your supervisors name and email address during the submission process.

Format

An online case study submission should be no more than 1200 words in length. This submission should include a detailed presentation of the case, all relevant laboratory and medical imaging findings and a review of the literature. Several take home messages (dot points) should be provided at the end of the submission. This section must not exceed 1200 words. References (10 maximum) should be cited. Please save all tables as images before uploading to avoid issues with formatting.

*Please note if you submit a table as an image this will not contribute to your word limit.

All case submissions will be de-identified in regards to Trainee, Supervisors, Hospital and State before being sent on to the case selection committee.

Should your case study be accepted into the program:

You will be asked to edit your online submission, reducing the contents to a maximum of 300 words. The case should include important results, without giving away the whole diagnosis and any special twists. Discussion and literature review is not to be part of this submission. Please give the case an interesting title and list your name and at least one supervisor as co-author, who must have discussed the case with you and approved the submission, along with your department/unit and hospital address and your email address. The same title, authors, department/unit and address details should be used from your original submission.

Important information before you submit your case study:

Are you using one of the following browsers:

  • INTERNET EXPLORER (ver 5.5 or newer)  
  • NETSCAPE (ver 7.4 or newer) or  
  • MOZILLA (ver 1.3 or newer)

If not the screen will tell you if it detects you are using the wrong software and you would be advised to change to a computer with one of them installed.* Have you got your case study open and running on your own computer? – you need to be able to cut and paste it onto the web. (Note that keypad short cuts do not work with Mozilla, you need to use the menu, edit, paste command to paste in text to your submission).* Is your case study text less than 1200 words – it will not allow you to paste larger submissions. The word count does NOT include your title, authoring or cited references* Have you got a table in your case study? If you have, it will need to be added into your submission in the form of an image. (It should be a .tif .gif .png or .jpg file)Please note that your case study will not be included in the program if you do not register and pay for your registration.

Submission

The first step in uploading your case study is to record your personal details on your own ‘dashboard’. If you have already completed it for your registration or another ASN event, you will not have to repeat this, just login to your ‘dashboard’ as a returning delegate. As you complete your registration you will receive a confirmation email. You will be able to upload your case study via your personal 'dashboard.'You can use your email and password to access your case study submission at any time.The presenting author must be the person submitting the case study and they must do this from their own ‘dashboard’.You can cut and paste your case study in several simple steps. The benefits of this system are many but include:

  • Allowing you to preview your case study and make modifications to your satisfaction.
  • Ensuring you know your lodgement is completed as you will receive an immediate email confirmation
  • Ensuring consistent presentation of all case studies in the proceedings (overarching formatting is imposed).

When you've finished the submission you will receive a confirmation email with your case study Submission Reference Number. You can view or edit your case study by returning to your dashboard.

If you do not receive this confirmation email, please contact ASN Events.

Yes- you can make changes after submitting a case study!

Changes can be made to your case study until the deadline expires on Friday, 5th July 2024. Just return to your conference dashboard and select the Edit option under Abstracts. The edit option will no longer appear once scoring has commenced.

Acceptance Notifications

All candidates will be notified before the submission deadline for the ESA-SRB-ANZBMS Scientific Meeting. Successful candidates cannot submit the same work for oral presentation at both meetings. If you are unsuccessful with your case study submission to the Clinical Weekend you can re-submit it to the ESA-SRB conference.
